Instructions for presenters


Oral presentations

Presenters should bring their presentation files on a USB device, or download them from the internet on-site. Slides should come in either PowerPoint or PDF format, and should come either together with any supporting materials (e.g. videos) in the same folder (alert the technical staff to copy those to the presenters’ computer as well!) or should be embedded into the PowerPoint presentation so they will be at your disposal at the time of your presentation.

Technical assistance will be provided on-site to help you with the download/upload to presenters’ laptop PCs. PowerPoint (Office 365 and older versions are supported) on Windows 11 operating system will be used for presentations. Mac computer users are asked to export their presentations to a PC-compatible format (either PPTX or PDF), as use of presenters’ own computers will not be allowed.

The projected screen will be in a wide, 16:9 (width:height) format. Please prepare your slides accordingly!

Wi-Fi and computers with wire internet access will be available at the venue.

OPTIONAL: Before the start of the session, the presenters can upload and/or just preview their presentation in the Preview room (exact hall/room name will be communicated later). The previewing can be taken care of well in advance of your session, even days before.

NOT OPTIONAL: Before the start of the session, presenters should make sure their presentation is on the computer in the designated lecture hall and contact the session Chair to confirm their presence. The session Chairs will be present in the lecture rooms 10 minutes before the session is scheduled.

All presenters are asked to respect the time limits when giving their talks. The alloted time will be communicted to all presenting authors before the start of the Conference.


Poster presentations

Poster sessions

There will be two poster sessions:

  • The Tuesday poster session will take place on Tuesday, 11 June during the two coffee breaks (one in the morning from 10.00 to 10.30 and another one in the afternoon from 15.30 to 16.00).
  • The Wednesday poster session will take place on Wednesday, 12 June during the two coffee breaks (one in the morning from 10.00 to 10.30 and another one in the afternoon from 15.30 to 16.00).

Poster presenters will be scheduled to be present at their posters either on Tuesday or Wednesday during the coffee breaks. However, posters can hang for the entire duration of the Conference, from Sunday afternoon to Thursday afternoon.

Poster format and dimensions

The poster display panels that will be available for poster presentations at the conference measure 1000 × 2000 mm, i.e. width x height (see image below), but not all of this area is available for your poster. The maximum recommended size/format is the A0 print format, i.e. 841 × 1189 mm (width × height). Please consider using the recommended format, although you can also choose any other size (up to a maximum size of 900 x 1700 mm). In any case, your poster must be oriented vertically (portrait).
